ChatGPT for distributors and wholesalers

You hold stock, you sell to trade, and you carry the credit. The margin on a line is thin and the paperwork around it is not. Most of that paperwork still happens in your inbox, in a price list spreadsheet, and in an ERP export nobody enjoys reading.

You probably already ask ChatGPT the odd question. The trouble is you have to explain your business every time: your SKU structure, your MOQs, your freight, your terms. So you get a decent paragraph and then rewrite it.

A skill fixes that. It is a written set of instructions you load once. It tells ChatGPT what a stocking program is, what landed cost includes, and what it must ask you before it guesses. You paste the customer's email or the ledger line. You get the document you were going to write yourself, faster, and with the unknowns marked instead of invented.

This is a made-up example to show the shape of the work. The company and the numbers are invented.

A regional distributor gets an email on a Thursday afternoon. A third-party logistics operator is fitting out a new 60,000 square foot warehouse and wants racking: roughly 240 upright frames, beams for four levels, wire decking, and install over two weekends. There is a PDF layout attached and a note that the general contractor needs pricing by Monday.

Before, that Thursday email would cost the owner his weekend. Read the layout, count frames, check the mill lead time, guess at install, type a quote at 9pm Sunday, and hope the freight assumption held.

With the skills, he pastes the email and the layout notes into ChatGPT and gets a brief that separates what was stated from what was assumed, and asks whether the customer's floor is rated for the loads. He answers the questions, adds his cost file, and gets an internal breakdown showing $214,000 of goods at a 22 percent gross margin, $9,400 of inbound freight, and install priced against a subcontractor day rate. The customer quote comes out separately, net-30, valid 21 days, with seismic bracing and permit work excluded.

He still checks the parts that only he can check: that the frame count matches the layout, that the mill quoted that lead time this week and not last month, that the day rate is current, and that this customer's credit limit covers the order. Then he sends it himself.
